WP5 – Quality Plan


  • The management team has sufficient experience to disseminate a culture of quality management.

WP leader POLIMI is responsible for the preparation of final reports upon delivery of any project-related result, which will deal with the analysis of deliverables and their assessments. All project partners, upon completion of deliverables will report to this WP leader to ensure continuous quality control and monitoring. To facilitate quality coherence, the WP leader will prepare templates that include the necessary indicators at the project’s beginning. In total, five results of MILETUS are evaluated to ensure quality: reports, courses, mobility runs, MILETUS outcome and infrastructure.

Online course on research methodology and online courses prepared on mobility by teaching staff at HEIs in Ukraine and Serbia will be evaluated by teaching staff and students. Evaluation and assessment materials will be either collected by WP-leader during SC meetings or provided by partners via email, so that WPleader can prepare the final assessment report. Training sessions offered to teaching and administrative staff from HEIs in Ukraine and Serbia as well as representatives from the Ministry of Education and Science of Ukraine and the Ministry of Education, Science and Technological Development of Serbia will be assessed on the basis of organization quality, participation figures, nature of questions asked during and after presentations as well as written feedback of participants. The assimilation of trainings and learning materials to countryspecific requirements is assessed by the former trainers.
Blended mobility phase for PhD level students from HEIs in Ukraine and Serbia will be assessed on the basis of evaluation reports submitted by PhD students from Ukraine and Serbia and supervisors from Programme Countries as well as from Ukraine and Serbia (professors or research colleagues collaborating with guest students in similar fields of interest). Evaluation reports from each participating student or teaching staff representative will be submitted to the WP leader for the purposes of the preparation of deliverable assessment report. If within the scope of blended mobility phase concrete results of mutual work are available, i.e. journal or conference paper, book chapter etc., these achievements will be used as mobility success metrics. Otherwise previous progress evaluated on the basis of the description of mutual work completed as well as future plans will be incorporated in the preparation of the assessment report by the WP leader.

First Master students virtual mobility phase supervised by teaching staff from Programme Countries’ HEIs will be assessed on the basis of feedback returned by students, teaching staff from Programme Countries, and teaching staff from Ukraine and Serbia to ensure all-encompassing overview of the first pilot mobility run. Assessment of the results of students’ work will also be incorporated into the deliverable report and will focus on assimilation of learning materials, fulfillment of requirements, and successful delivery of research work results by the students participating in mobility run.

Second virtual mobility run will be assessed on the basis of feedback provided by

  • students, in particular those who have already participated in the first mobility run and in case some students will not be able to participate in the second virtual mobility run for legitimate reasons;
  • teaching staff from Programme Countries’ HEIs who will elaborate on the success of assimilation of training guidelines by teaching staff from Ukraine and Serbia.

Assessment of developed methodological recommendations for students, teaching and administrative staff and the representatives of the Ministry of Education and Science of Ukraine and the Ministry of Education, Science and Technological Development of Serbia will be undertaken on the basis of feedback provided by persons for whom these materials have been evolved.

Presentations prepared by the representatives of HEIs in Ukraine and Serbia on job fairs during the third year of the project, info days, and virtual mobility run tasks will be assessed after each event to ensure MILETUS strives for employability. All MILETUS outcomes will be regularly monitored by an external control who is assigned to highlight shortcomings and paves ways for improving the overall project results.

The last part to be monitored on a regular basis to ensure MILETUS quality is the infrastructure. The official project’s website assessment will be carried out on the basis of such indicators as the number of users visiting the website, their geography, share buttons (to e.g. Facebook), etc. The second part related to infrastructure is the quality of financial and administrative reporting. Since not all universities are familiar with the altered Erasmus+ rules, seminars headed by the oordinator ensure thorough understanding and application of all rules. The last infrastructure control is the necessary anti-terror list check for all organizations linked to the project (e.g. partners, suppliers, etc.) to comply with legal obligations.

The five project results that are continuously controlled to ensure project quality are guided by the WP leader, although POLIMI relies on all partner’s input. The entire WP will guarantee MILETUS success.
